At BooksTime, your privacy is our priority. Please read this privacy policy (“Policy”) to ensure that you understand how we handle your information. This Policy may be superseded by any further agreement you enter into with BooksTime.
BooksTime collects information from clients in order to provide requested services.
BooksTime collects information about identifiable individuals and companies and may include information such as the individual’s or company’s name, contact information (including emails), telephone number, bank account details, taxation details, business data (such as sales figures, cost estimates, etc.), and accounting and financial information. You can always choose not to provide your information to BooksTime, but it may mean that we are unable to provide our services to you.
If you do not wish your information to be stored on a server located in the U.S., you should not provide BooksTime with your information or use our services.
Through your use of our services, BooksTime may also collect information from you about someone else or about you from someone else. If you provide information about someone else, you must ensure that you are authorized to disclose that information and that, without BooksTime taking any further steps required by applicable data protection or privacy laws, BooksTime may collect, use and disclose such information for the purposes described in this Policy.
This means that you must take reasonable steps to ensure the company or individual concerned is aware of and/or consents to the various matters detailed in this Policy, including the fact that their information is being collected, the purposes for which that information is being collected, the intended recipients of that information, the company’s or individual’s right to obtain access to that information, BooksTime’s identity, and how to contact BooksTime. Where requested to do so by BooksTime, you must also assist us with any requests by the company or individual to access or update the information you have collected from them and provided to us.
While you are using our website we may also collect other information about you, including your IP address, country of origin and other information about your computer or device (such as web requests, browser type, browser language, referring URL, operating system and date and time of requests), which will be recorded for log file information, aggregated traffic information and in the event that there is any misappropriation of information and/or content. Our website also allows you to contact us through chat, email and other methods. If you choose to contact us we will collect the information you provide to us through these means. When you use our website, we may also send cookies to your computer to uniquely identify you and/or your browser session. We may use both session cookies, persistent cookies and other standard internet technologies.
We keep records of any correspondence between you and us.
BooksTime collects, holds, and uses your information for limited purposes. BooksTime collects your information so that we can provide you with services that you may request. In doing so, BooksTime may use the information we have collected from you for purposes related to the services including to:
- verify your identity,
- provide and administer the services,
- communicate with you in relation to the services,
- carry out training or education efforts relating to the services,
- assist with the resolution of technical support issues or other issues relating to the services, and
- comply with laws and regulations in applicable jurisdictions,
- provide quotes, estimates or assessments,
- analyze data to identify general trends and anomalies,
- other uses allowed by law and any contract you may have with BooksTime.
BooksTime may share your information with our partners and associates for the purposes set forth above.
By using our services, you consent to your information being collected, held and used in this way and for any other use you authorize. BooksTime will only use your information for the purposes described in this Policy or with your express permission.
BooksTime may aggregate non-identifiable, fully anonymized data if a client permits.
By using our services, you recognize and agree that BooksTime can access, aggregate and use non-identifiable data BooksTime has collected from you. This data will in no way identify you or any other company or individual.
You may rescind permission for any collection or use of your data at any time by contacting your BooksTime account manager or emailing us at learn.more@bookstime.com.
BooksTime may use aggregated non-identifiable data to:
- assist us to better understand how our customers are using our services,
- provide information regarding the uses and benefits of our services,
- enhance client productivity, including by creating useful business insights from that aggregated data and allowing you to benchmark your business’ performance against that aggregated data, and
- otherwise to improve the Service.
If you send your information over the Internet, you must use appropriate technologies to secure your information. For a free BooksTime security consultation, which includes guidance on how to secure your Internet communications, clients may contact our security desk by emailing security@bookstime.com. Please note that the Internet is not in itself a secure environment and we cannot give an absolute assurance that your information will be secure at all times, especially if you don’t take the necessary precautions. Transmission of information over the Internet is at your own risk and you should only enter, or instruct the entering of, information to BooksTime within a secure environment.
While we use commercially reasonable physical, managerial and technical safeguards to secure your information, the transmission of information via the internet is not completely secure and we cannot ensure or warrant the security of any information or content you transmit to us. Any information or content you transmit to us is done at your own risk.
You may request access to your information.
It is your responsibility to ensure that the information you provide to us is accurate, complete and up-to-date. You may request access to the information we hold about you, or request that we update or correct any personal information we hold about you, by setting out your request in writing and sending it to us at security@bookstime.com.
BooksTime will process your request as soon as reasonably practicable, provided we are not otherwise prevented from doing so for example, on legal grounds, or as necessary to prevent an unreasonable impact on the privacy or affairs of other individuals, or if it is not reasonable and practicable for us to process your request in the manner you have requested.
We’ll only keep your information for as long as we have a valid purpose to do so as your service provider. However, we may also be required to keep some of your information for specified periods of time, for example under certain laws relating to corporations, money laundering, and financial reporting legislation.

If you wish to complain about how we have handled your information, please provide our Privacy Officer with full details of your complaint and any supporting documentation by e-mail at security@bookstime.com.
This policy may be updated from time to time.
BooksTime reserves the right to change this Policy at any time and without notice (though, with that said, it has always been our policy to let clients know ahead of time if we’re planning on making any noteworthy changes). Any amended Policy is effective immediately. Your continued use of our services will be deemed acceptance of any amended Policy.
